IMPORTANT NOTICE ABOUT THE SCHEDULE FOR STUDENT REGISTRATION
We want to make registration as simple and efficient as possible – this is for your benefit as well as for ours. There are eight things that you can do to increase your chance of getting all the classes you wish.

The University of Cambodia expects students to register on time, during a predetermined period up to the start of each term. This helps both the University and our students to plan ahead, avoids a messy last-minute rush, and ensures smooth and efficient processing.

Before your slotted registration period, you should think about your options and consult with your academic advisor, College Coordinator, or staff of the Office of Student Academic Affairs. At the same time, you can obtain the necessary Course Registration Form from the Office of Student Academic Affairs, the Office of College Coordinators, or the Office of Admissions and Registrations.

You need to register for your courses during the appropriate registration period, which the Office of Student Academic Affairs has scheduled for you in order to avoid a last-minute rush. Students do not need to know their grades for their current courses before they register for new courses.

Registration at the allocated time helps to ensure that the classes which students want to take will be opened. Students who register late cannot be guaranteed that they will get the classes that they want, as some of the classes may be full, or cancelled due to inadequate enrolment.

Students who do not follow the assigned registration periods can still register for their courses but must also pay a late-registration fee of US$20 in order to be able to enroll for the term.

To avoid the cancellation of classes, students are required to pay their tuition fee on time, based on the
Schedule for Tuition Fee Payment. Student who does not pay on time will suffer a late payment penalty, at the rate of 5% per week of delay in payment.

New and transfer students should see the representative of either the Office of Student Academic Affairs or the Office of Admissions and Registrations regarding admission requirements (including taking the general education test and English-language exam), academic counseling and registration for classes.

Note: students who have earned an Associate degree from another University must also take the University of Cambodia Entrance Examination, and an English Proficiency Exam, before they can be admitted into the Bachelor's program.

*The University of Cambodia charges no application fee, but students are charged 5,000 riels for the application form.

NEW AND EXISTING STUDENTS: REGISTRATION PROCEDURES
In order to be able to register for credit-courses at the University of Cambodia by the appropriate deadline, either you must be a continuing student, or you must have been accepted as a new student after applying for admission. If you are a continuing student and have not been suspended or dismissed, you are guaranteed the opportunity to register provided that:
- you maintain continuous enrollment (including applying for Leave of Absence – see below – for terms where you have other commitments which prevent you registering for classes) in the same classification, e.g. undergraduate or graduate; and
- you apply during the appropriate time-window (see table below).
Once you earn a degree (e.g., A.A., B.A., M.A.), you must apply for re-admission and be accepted into an appropriate degree program to register again. If you are not in good academic standing, you must consult with your College Coordinator about being re-admitted, in order to be eligible for registration. Students eligible to register should follow these steps:
- Pick up your Course Registration Form from either the Office of Student Academic Affairs or the Office of Admissions and Registration; if necessary, update information about your current address, etc.
- Familiarize yourself with the Schedule of Classes for that term.
- Consult your academic adviser(s), your College Coordinator, or staff of the Office of Student Academic Affairs to select courses that are applicable to your degree program.
- Determine if you need to take any special course or obtain approval for specific courses, and then take appropriate actions.
- Settle any outstanding financial obligations to the University of Cambodia.
- Check the availability of your courses: look at the list of New, Cancelled and Changed Classes posted at the Office of the Student Academic Affairs and the Office of Admissions and Registrations.
- Fill out your Course Registration Form.
- Process your Course Registration Form by having the Director or staff of the Office of Student Academic Affairs or the College Coordinator sign the Form.
- Pay your tuition and fees at the Office of Administration (Villa Building) by the deadline.
- If you are a continuing student, check whether you have any incomplete ('IN') grades from your previous term's work: this is given to a student who has not completed a small but important part of a course’s work, if the instructor believes that this was caused by conditions beyond the student’s control. Students receiving a grade of ‘IN’ should consult their instructor promptly to determine the steps to be taken and the deadline to complete the course work for changing the grade of ‘IN’ to a final grade: it is very important to note that all grades of ‘IN’ must be cleared by a student’s College by the end of the following term.
- If you are a student who is almost ready to graduate, please also read carefully the relevant section below (Procedures for Graduating Students).
Registration is not complete unless all tuition and fees have been fully paid by the specified deadlines (see table below). Students are encouraged to pay their tuition and fees in advance. Note that:
- students are not allowed to attend any classes without prior registration and payment of tuition and fees;
- any student who fails to register within the scheduled time will have to pay a late registration fee of $20; and
- any student who fails to pay tuition fees within the scheduled time will have to pay a fine of 5% of the normal full fees for each week of late payment.
It is your responsibility to read carefully the available information in the
Undergraduate and Graduate Catalogs of the University of Cambodia, which describe the courses and degree requirements and specify course pre-requisites. You are also required to read announcements by the University on the Information Bulletin Board. There are advisers available to help you, but you alone are responsible for becoming familiar with the policies, procedures, and requirements of the University, your College, and your degree program.

Note: all scholarship and normal students will be required to pay a late-registration fee of US$20 if they register after the closure of their respective registration periods: no exceptions will be made. This applies also for students who have paid their fees in advance.
** All scholarship and normal students will be required to pay an additional 5% (of the normal full fees) penalty for each week of late payment of tuition fees so that they can attend classes.
Change in Registration
Students are not allowed to sit in any classes without being registered for that course. Also, for their own benefit, students are restricted in their ability to change courses during the term. Thus:
- courses may only be added during the first seven days of instruction.
- courses may only be dropped during the first seven days of instruction without notation on the student's record, except under unusual or extenuating circumstances beyond the control of the student (when a Withdrawn grade - WD - will be recorded in their transcript).
Students who want to add or drop particular courses can only do so with prior approval of the Office of Student Academic Affairs, after consultation with the student's College Coordinator and course instructor. Failure to seek such approval will mean that the student will receive an F (fail) or NC (no credit) grade, as appropriate, in their transcript.
Change of College or Major
Registered (full-time or part-time) undergraduate students may apply for transfer from one College to another, or from one major to another within a College, during their first two terms of study at the University (this may not apply to transfer students). Application forms can be obtained from the Office of Student Academic Affairs of the University of Cambodia. Changes of College, curriculum, or major are not permitted during registration periods. Students who want to change their major after this can still do so, but they must pay an administrative fee of US$50.
Leave of Absence
A full-time or part-time undergraduate student who has completed at least one term at the University of Cambodia may choose to apply for a Leave of Absence for a specified period of one or two terms. To qualify, they must:
- have just completed their prior term at the University of Cambodia;
- be in good academic standing; and
- not be already enrolled for the next term.
Application forms for a Leave of Absence are available from the Office of Student Academic Affairs. The date of return from leave must be specified at the time of application. Normally, students may not take more than two regular terms of leave before graduation; additional terms of Leave of Absence may be granted only under extenuating circumstances. The granting of a Leave of Absence indicates a continuing relationship with the University of Cambodia and allows students to resume studies at a specific time without applying for re-admission. Students who take a Leave of Absence will continue to be subject to the graduation requirements in effect at the time their leave began. However, students should be aware that taking a leave of absence may affect their eligibility for programs or scholarships.
Students who do not re-enroll at the University of Cambodia at the end of their Leave of Absence will be considered to have withdrawn without notice; they will be required to apply for re-admission to the University and will be subject to the graduation requirements in effect at the time of re-admission.
PROCEDURES FOR GRADUATING STUDENTS
It is the student's responsibility to initiate the processes leading up to their graduation from the University of Cambodia. In addition to the normal registration procedures outlined above, all undergraduate and graduate students who have only one more term to complete must also:
- Apply for graduation by picking up copies of the Graduation Application Form and the Student Clearance Form from the Office of Administration.

Complete both of these forms and submit them to the Office of Administration as early as possible.

Check your academic record with the Registrar’s Office (Ms. Kong Rathana) to ensure that you have satisfied all academic requirements, including having an adequate Grade Point Average (GPA), the number of credits required for the degree, with no incomplete grades (all incomplete grades must have been converted into the normal grades before the graduation).

Clear any outstanding financial obligations that you may have with the University.
Undergraduate Students
In addition, all Associate and Bachelor's must take the Exit Exam, as required by the Academic Policy of the University of Cambodia and the Ministry of Education, Youth and Sports.
- This is normally taken in the last term of a student's course of study.
- If you are not currently enrolled, you must register for one course (3 credits) so that you can sit for the Exit Exam.
- The Exit Exam Committee, headed by will help you to prepare, plan, and take the Exit Exam.
- The Office of Administration will inform all undergraduate students of the date, time, and venue for the Exit Exam.

Graduate Students
In addition, Master's students who are not doing the Thesis option must
- take the Comprehensive Exam, as required by the Academic Policy of the University of Cambodia; and also
- submit a Research Paper, as required by the Ministry of Education, Youth and Sports.
